- Send us your paper receipts, bills and invoices in the post (it’s free!). Even simpler, scan your documents onto our digital portal to add them straight to your virtual folders or email them to your accountant.
- Your accountant will take over your bookkeeping management services as soon as they receive your information. Our bookkeepers will manage your accounts, document your expenses, and look after other requested financial responsibilities, such as payroll.
- At the end of each month, you’ll receive a message from your accountant, reporting on the details of your accounts and offering tailored advice to help you meet your financial goals.
- When tax season comes around, we’ll file your returns using our award-winning tax software and submit them to HMRC and/or Companies House.

Will I get assigned a bookkeeping team?
Yes. We’ll begin by allocating a team to work on your bookkeeping when you get started with us. Our bookkeepers work with the same set of clients from start to finish, ensuring that they can provide the most tailored service to each individual in question.
How much responsibility will you take on?
We can do everything you ask of us – as long as it’s related to bookkeeping and accountancy! We sort our clients’ taxes and VAT, organise their transactions, and communicate with HMRC on our clients’ behalf. We’ll make sure you’re following legal requirements and keep you in the loop with updates and handy resources, and if any additional information is required from you, we’ll reach out as soon as possible.
What do my monthly payments go towards?
Your payments account for our month-to-month bookkeeping and accounting services. Each payment will also go towards your year-end statutory requirements and tax returns, as well as payroll, VAT and whatever else you have selected in your instant quote. We don’t throw any unexpected payments on you once you agree to a fixed monthly cost for our service.
What are the details you’ll need me to provide?
When you partner with us, our accountants will require the following details from you:
- Your full name and ID (either drivers’ license or passport)
- Your date of birth
- Your current address and proof that you live there
- Your mobile and/or home phone number
- Your NI (National Insurance) number
- Your company name and number
- Your UTR (Unique Tax Reference) number
- Your VAT registration number
- Documentation of your previous tax return
Make sure the information you provide is accurate, as this will simplify the sign-up process for everyone. You may not need to provide us with some of these details – it depends on the exact accountancy services you opt for. We’ll offer more information about what we need when we contact you.
Is there a minimum contract period?
No. You’re not “tied in” to use our accountancy services for a certain period of time after signing up. Simply pay your fixed fee per month, and our accountants will provide you with a service for as many months or years as you require.
What happens if I sign up for your bookkeeping services part-way through the financial year?
If you sign up for bookkeeping services part-way through the financial year, your bookkeeper will need to get up-to-date with the records and transactions that your company has already made in the first part of the year.
So, for instance, clients whose financial year started in April and who sign up with Mazuma in July, will be charged four monthly costs to cover April, May, June and July. If you’d rather not make these payments all in one go, there’s the option to split them over three months.
As soon as your bookkeeper is up to date, you’ll just need to pay a fixed fee per month. If you’d like us to complete your year-end accounts and tax returns, we ask that you have been a client of Mazuma for one year or have made the equivalent of 12 monthly payments.
Is it essential to hire a bookkeeper for my accounting duties?
No – but it can save you a lot of time. Using our bookkeepers will also prevent you from making mistakes when you file your taxes – or forgetting to declare your income whatsoever. HM Revenue may fine you if you fail to update your bookkeeping records accurately on time. That’s why many businesses choose to outsource their bookkeeping to professionals – to avoid the risk of a hefty fee.

What is Bookkeeping?
Bookkeeping is the process of a business recording all of their financial transactions in a set format. Back in the old days, this used to be done using something called a ledger book, but nowadays it is more typically done using spreadsheets or software.
Bookkeeping is not as simple as just listing out all of the income and expenses in your business throughout the year.
The skill in bookkeeping as a small business is to know what expense or income category each transaction belongs to, how to account for the other side of the transaction (something called double entry bookkeeping), and correctly accounting for things like VAT and payroll liabilities.
If that isn’t something that you have experience or expertise in, then you should get an expert to do it for you to avoid costly mistakes.
Reconciling your Bank Account
Bookkeeping should also include the process of reconciling your business bank account. This is especially important for Ltd Companies who have a legal obligation to have a business bank account in the company’s name.
A bank reconciliation matches up each entry you have made in the bookkeeping ledger, against their relevant entry as they come into or go out of the bank account.
Items that have not yet been through the bank account are classified as Debtors and Creditors.

Bookkeeping Software
Many small businesses use Bookkeeping Software to try and help them perform their Bookkeeping. Software is fantastic if you know the rules of double entry bookkeeping. But if you don’t (which most small business owners do not!), then it can leave your bookkeeping in a mess.
Much of the fee paid by clients to a traditional Accountant is for the time they spend unpicking the entries in their client’s Bookkeeping software. That’s why at Mazuma we do all of the bookkeeping for our clients. Firstly it allows them more time to do what they love, and secondly it saves them fees in the long run.
Sending Invoices
The one part of Bookkeeping that we do recommend business owners do themselves is to raise their sales invoices and chase their customers for payment. No one knows your business like you do, so it’s time well spent to make sure that you send out your invoices and collect payment on time.
